Policy – Cancellation & Rescheduling Policy

Purpose
This policy explains how session cancellations are handled. Clear cancellation boundaries help maintain consistency, fairness, and respect for both client and coach.


Scope
This policy applies to all 1:1 coaching services, including:
● Single coaching sessions
● 6-Month, 12-Month, and 18-Month coaching packages
Cancellation Notice Requirement
● Sessions may be cancelled or rescheduled with at least 24 hours’ notice
● Notice must be provided via the agreed communication method


Late Cancellations
● Cancellations made with less than 24 hours’ notice are considered late cancellations
● Late cancellations are counted as used sessions
● Late-cancelled sessions are not refundable and not creditable


No-Show Policy
● A no-show is defined as failing to attend a scheduled session without prior notice
● No-show sessions are:
○ Counted as used
○ Not eligible for refunds or credits


Package Sessions
● Package sessions cancelled late or missed are deducted from the total session balance
● Only unused sessions may be eligible for refunds, in accordance with the Refund Policy


Coach-Initiated Cancellations
● If Dreams Alive needs to cancel a session:
○ The session will be rescheduled at no cost to the client
○ The session is not counted as used

If policies conflict, written policies take precedence.
